A step-by-step guide for implementing Ideagen Op Central

Implementing a new system at an established organisation always appears to be a really daunting task. It’s often something we just put in the ‘too hard basket’ and stick with the systems we have, regardless of if they are working the way we want or not!


Implementing a new system at an established organisation always appears to be a really daunting task. It’s often something we just put in the ‘too hard basket’ and stick with the systems we have, regardless of if they are working the way we want or not! 

Today, I’m going to break down the process of implementing Ideagen Op Central so you can see just how easy it is to roll-out the system across your organisation. 

Step 1: Onboarding

After signing on with Ideagen Op Central, our friendly and experienced support team will get you onboarded to the system. They will walk you through how the system works and help you set up your very own Ideagen Op Central portal on the onboarding call with you. The experience is highly personalised and will definitely get you excited about getting in the system and making it your own.

At this time, you will want to work on garnering some excitement with your team leads. Let them know about the system (if they don’t already know) and how the system is going to help them solve their problems 

Hot tip: Invite your team leads to the onboarding call to get that buy-in from key stakeholders and make your life easier.

Step 2: Data migration

Our data migration team is ready to get your content into your Ideagen Op Central portal. Your policies and procedures are migrated into your portal by our team for free* and can help with your other content too! If your content is living in other systems, give us the keys and we can get that content out of your old systems and move it into Ideagen Op Central.

This stage will likely take a couple of weeks depending on team availability. So the crucial thing you will want to do is have your content all gathered up and over to our migration team as quickly as possible. This can greatly reduce the amount of time it will take to get all your important content into your portal and thus speed up the roll-out process.

While you’re waiting for your content to be uploaded into the system, there are a couple of things I’d recommend doing with that time:

  • Work on a communication strategy and schedule: The most successful system roll-outs we see start off with a killer communication strategy and a thought out schedule. You will want to get your organisation hyped up to use the platform as it’s likely going to become a big part of their work lives. Treat your communication strategy like an internal marketing campaign and you are much more likely to see higher platform engagement later.  
  • Personalise the platform: Have a bit of fun with it! It’s your system so input your branding, messaging and flair into the system so that when the rest of your team get their hands on the system, they are greeted with something beautiful, engaging and highly personalised.

Hot tip: Create different dashboards for different roles in the system. A different dashboard is going to offer a more personalised experience to users and is a great way to get your team started in Ideagen Op Central.

Step 3: Roll-out

Now that you are a rockstar at using the system, have all your content in your portal and your team are fully aware of the changes, it’s time to roll-out the system across your organisation. Our support team will be there to help you out if you experience any challenges during this time and in the future, so don’t hesitate to get in touch with them at any point!

To get the best results and high engagement with the system, I’d recommend some sort of incentivisation. You can gamify use of the system with badges and shout-outs to your platform superstars or even create larger incentives like gift cards or a paid lunch, whatever you think fits best. 

Obviously incentives don’t last in the long-term and you’ll have to continue updating the content in the system and making it an interesting system to use, but this is a great way to set standards for using the system and create a bit of buzz around the changes too
